2023 HMT Annual Auction and Gala

The  HMT Annual auction utilizes the talents of many parent and community volunteers.

Before the Event (Planning):

1. Procurement/Outreach

Do you work or own a business that would like to donate a gift certificate or service? Would they like to be a Sponsor?

Do you know of a Bakery or a Home Baker that would like to donate a dessert?

2.  Technology/ Videography:

Are you great with computers? Would you like to create a Powerpoint to be used during the LIVE auction event?

Do you like film/video editing? Do you want  to create a video montage of HMT students asking...."Why They Love HMT?"

Do you work in media? Would like to create a slideshow of photos/videos of past and present Hi-Liners to be played at the end of the evening?

3.  Graphic Design/Artistic:

Are you good at graphic art? design? Would you like to help create our Silent Auction Catalog?

Are you creative or artistic and want to create beautiful posters of the LIVE ITEMS? Do you want to create posters/signs for the Sponsors, Bar, Dessert Table, Games?

4. Data Entry/Organization:

Are you detail oriented? Do you like precise, organizational work? If so, perhaps you would be interested learning our auction software? No experience needed.

5. Dessert Auction:

Are you connected in the local community? Would you like to procure desserts from bakeries or parents?

Do you feel comfortable sending reminder emails to donors? Facilitate dessert pick up and drop off at auction location?

6.  Food:

Do you want to help, but don't have the time to participate in the planning process? Well, perhaps facilitating  food for performers and volunteers on auction night is the right job for you?

 

If you are NOT planning on attending the auction as a guest, but still want to participate, we could use your help on Auction Night. See a list of volunteer opportunities below.

 

One day BEFORE Auction: 

1. Set up:  Silent Auction tables- Place item descriptions in frames and organize silent auction table

 

Event Day/Night:

1. Registration/ Check In/ Check out: Requires someone who is detail oriented.

2. Facilitate and Assist with auction games

3. Live Auction Spotter/ Recorder

4. Silent Auction Tech Assistant (assist attendees with online bidding)

5. Pack and distribute auction items at the end of the night to be collected by the attendees

6. Green Room Assistant: Help monitor and keep kids entertained before and after their performances

7.  After Event Thank you Gifts/ Cards:  Deliver Thank You gifts and Thank You cards to auctioneer, sponsors, and big donors.

8. After event clean up team: Identify UNCLAIMED silent auction items that are not picked up. Gather Silent auction frames and store in boxes. Help auction team load cars of items that need to be placed in storage

Dessert Auction:

Collect and store perishable desserts in the refrigerator (12-3pm)

Display desserts 30 min before Live Auction (save bakery boxes).

Distribute dessert bid cards with pens, and collect them

Help guests pack and take home left over dessert 

Collect dessert pens at the end of the night
